Ordering a new Hygiene Passport

Hygiene Passport Examiners approved by the Finnish Food Authority can order new Hygiene Passports, for example if the original passport has been lost or the holder's name has changed. Please note that you cannot order Hygiene Passports from the Finnish Food Authority.

If you have passed the Hygiene Passport test and you do not receive a Hygiene Passport from your Hygiene Passport Examiner, contact your own Examiner directly as soon as possible after the test. You can clarify this with your Examiner. If necessary, the Examiner will order you a Hygiene Passport again.

Please note! After 1 January 2020, Hygiene Passports have no longer been issued on the basis of a relevant food sector qualification or education (Food Act 297/2021). Hygiene Passports issued on the basis of qualifications or education on or before 31 December 2019 remain valid if the holder still has their Hygiene Passport and their personal data have not changed. New Hygiene Passports are no longer issued based on a qualification or education. To obtain a new Hygiene Passport, the candidate must pass the Hygiene Passport test. 

One part of the Hygiene Passport (paper certificate or card) has been lost

  1. Contact any Hygiene Passport Examiner approved by the Finnish Food Authority.
  2. Send the part of the Hygiene Passport that you still have to the Hygiene Passport Examiner.
  3. The Hygiene Passport Examiner will issue you with a new Hygiene Passport.

Both parts of the Hygiene Passport have been lost (the card and the paper certificate) and you took the Hygiene Passport test less than 5 years ago

  1. Contact the Hygiene Passport Examiner approved by the Finnish Food Authority who organized the test that you took and who issued you with your original Hygiene Passport.
  2. If you took the test less than 5 years ago, your Hygiene Passport Examiner can issue you with a new Hygiene Passport.
    • Your Examiner archived your test form, which makes it possible for them to issue you with a new Hygiene Passport.
    • The Hygiene Passport Examiner has a duty to archive the documents on the basis of which Hygiene Passports are issued (including test forms) for five years after the date of issue of the Hygiene Passport.

Both parts of the Hygiene Passport have been lost (the card and the paper certificate) and you took the Hygiene Passport test more than 5 years ago

You must re-sit the Hygiene Passport test.

 

Parts of the hygiene passport found

Found Hygiene passports are delivered to the Finnish Food Authority, which delivers them to the Hygiene Passport Examiners who have issued them. Examiners keep them for 3 months.

You have both parts of the Hygiene Passport (the card and paper certificate) or one of them

  1. Contact any Hygiene Passport Examiner approved by the Finnish Food Authority.
  2. Send both parts of the Hygiene Passport (the card and paper certificate) or the part that you still have to the Hygiene Passport Examiner.
  3. Submit to the Hygiene Passport Examiner an official certificate showing your change of name or date of birth, either as a printed version or electronically. This certificate may be:
    • A certificate or civil service certificate issued by the Police, the Local Register Office, the Population Register Centre or the parish
    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.
  4. The Hygiene Passport Examiner issues you with a new Hygiene Passport.

Both parts of the Hygiene Passport have been lost (the card and the paper certificate) and you took the Hygiene Passport test less than 5 years ago

  1. Contact the Hygiene Passport Examiner approved by the Finnish Food Authority who organized the test that you took and who issued you with your original Hygiene Passport.
  2. Submit to the Hygiene Passport Examiner an official certificate showing your change of name or date of birth, either as a printed version or electronically. This certificate may be:
    • A certificate or civil service certificate issued by the Police, the Local Register Office, the Population Register Centre or the parish
    • A certificate of personal data obtained from the Suomi.fi service which shows your current and previous name or date of birth
    • your previous and new personal identity document.
  3. If you took the test less than 5 years ago, your Hygiene Passport Examiner can issue you with a new Hygiene Passport.

  1. When you receive your Hygiene Passport from the Hygiene Passport Examiner, check immediately that your name and date of birth are correct.
  2. Contact your Hygiene Passport Examiner straight away if your name or date of birth is incorrect. 
  3. Send both parts of the Hygiene Passport (the card and paper certificate) to the Hygiene Passport Examiner.
  4. The Hygiene Passport Examiner checks how you have entered your name and date of birth on the Finnish Food Authority's test form.
  5. The Hygiene Passport Examiner issues you with a new Hygiene Passport with the name and date of birth information you have yourself written on the Finnish Food Authority's test form in the test.

Both parts of the Hygiene Passport (the card and paper certificate) or one of them are damaged

  1. Contact any Hygiene Passport Examiner approved by the Finnish Food Authority.
  2. Send both parts of the Hygiene Passport (the card and paper certificate) or the part that you still have to the Hygiene Passport Examiner. Please note! If you only have one part of the Hygiene Passport, it must show all the identifying information (name and date of birth of the candidate, Examiner’s ID/name, test date, serial number). If even one of these pieces of information is missing, the Examiner cannot issue a new Hygiene Passport based on the part of the original Hygiene Passport.
  3. The Hygiene Passport Examiner will issue you with a new Hygiene Passport.
